Scope

This Policy covers information collected through our website, booking pages, payment pages, and any forms we host (including Google Forms for entries and voting). By using these services, you consent to this Policy.

Information We Collect

Information you provide: name, email, phone, booking details (service/date/time), messages, and—for the Halloween Costume Contest—display name, category, and any photos or media you submit.

Automatically collected: device/usage data such as IP address, browser, device type, pages viewed, and timestamps (via our site or service providers). Cookies may be used to support functionality, security, and analytics.

Payment information: We do not collect or store full card numbers. Payments are processed by Stripe or QuickBooks; we may receive payment confirmations and payer contact details from Stripe and QuickBooks for reconciliation and support.

How We Use Information

• Provide and schedule in-office and RON notary services and respond to inquiries.
• Operate the Halloween Costume Contest (process entries, display gallery, administer voting, contact winners, and deliver prizes).
• Prevent fraud and abuse (e.g., review duplicate votes or suspicious submissions).
• Improve site reliability, security, and performance, and comply with legal obligations.

We do not sell your personal information.

Contest & Voting Addendum

• Photos & display: By submitting an entry photo, you authorize us to store it (Google Drive) and to display it publicly for voting and promotion with your provided display name and category. See our Official Contest Rules for details.
• Voting: We may collect voter email addresses and response timestamps via Google Forms/Sheets to enforce “one vote per person,” detect duplicates, and protect the integrity of the contest.
• Anti-fraud: We may review, filter, or remove votes that appear automated, duplicated, or fraudulent and keep related logs for audit purposes.
• Children: Entries for minors must be submitted or approved by a parent/guardian. We do not knowingly collect personal information directly from children under 13 without parental consent.

Payments & Third-Party Services

• Stripe (payments): Payments for online transactions and contest entry fees are processed securely through Stripe. Stripe may collect identifiers, payment method details, device/anti-fraud data, and transaction information. We do not store full card numbers on our servers. Your use of Stripe is governed by Stripe’s Privacy Policy.
• QuickBooks (invoicing & accounting): We use Intuit QuickBooks for bookkeeping, invoice creation, and payment tracking. QuickBooks may collect limited customer and transaction data for accounting, tax, and compliance purposes. We do not share or sell this information outside Intuit’s secure systems. Your use of any QuickBooks-based payment or invoice link is subject to Intuit’s Privacy Policy.
• Google (forms, storage, analytics): Entry/voting forms and uploaded photos are managed through Google Forms and Drive within our Google Workspace account. Google may process technical or device information in accordance with Google’s Privacy Policy. If we use Google Analytics, it may set cookies to understand site usage.
• RON platform: Remote Online Notarizations are conducted using a compliant third-party platform that manages identity verification, audio-video recording, and electronic signing. Each RON session is also subject to that platform’s terms and privacy policy.

Cookies & Analytics

We use cookies and similar technologies to operate our site and understand usage. You can block or delete cookies in your browser, though some features may not function properly. Where used, Google provides opt-out options for analytics.

RON Recordings & Retention

RON sessions include identity verification and an audio-video recording. We retain RON records and related notary journals as required by Texas law and/or the platform’s retention schedule (typically at least five years).

Data Retention

We retain general booking/contact information as needed to provide services and maintain records. Contest entries, photos, and voting records are retained for up to 12 months after the contest closes (or longer if required by law) and then deleted or anonymized. Payment records may be retained longer for accounting and legal compliance.

Security

We use reasonable administrative, technical, and physical safeguards. No method of transmission or storage is 100% secure; we cannot guarantee absolute security of information transmitted to or stored by us or our providers.

Your Choices & Rights

You may request access, correction, or deletion of your personal information (subject to legal record-keeping obligations) by emailing [email protected]. You may opt out of non-essential communications at any time. For contest photos already published, removal requests will be assessed case-by-case and may affect eligibility.

Children’s Privacy

Our site and services are intended for adults. We do not knowingly collect personal information from children under 13 without verifiable parental consent.

We may update this Policy from time to time. Changes will be posted on this page with the updated effective date.
